In some instances it may be necessary to request that a payment made to an earner be repaid. Understandably it can be frustrating for an Earner to have money removed from their account. Because of this, the use of repayments is strongly discouraged by the Checkr Pay team. Repayments should be considered a final safety net in extremely unusual circumstances.
Checkr Pay can collaborate with you to talk through various scenarios that your business encounters for repayments, and develop strategies for minimizing the need to use them. Nonetheless, there may be instances where this feature is needed.
The remainder of this article describes the dashboard repayment feature, its limits and configuration.
Important Caveats
This feature has several limits that customers must be aware of. Please be aware of the following when using this feature:
- Not all payouts are eligible for repayments. If an earner has opted into Direct Deposit, then Checkr Pay cannot trigger a repayment. Instead the payout will need to be canceled (see below)
- A repayment may appear on the Customer Dashboard as eligible. However, if there is insufficient balance in the Checkr Pay account, the repayment may fail. Note that for privacy reasons, Checkr Pay cannot disclose balance information about an account.
- If your repayment fails, you will receive a notification in the Dashboard, and the status on the Payouts dashboard will not change to repaid.
Repayment Configuration
Repayment requests must be configured at two levels. First, a Checkr Pay representative must enable your Checkr Pay account for repayments. To accomplish this, reach out to Customer Support to request that Repayments be enabled for your account.
Once the feature is enabled, you must then configure individual users within your account to have the Execute Repayments permission.
To do this, follow the instructions on the Adding internal users to the Checkr Pay dashboard page.
Repayment Use
Users who have been granted appropriate permissions will see a three-dot menu appear in the top right corner after opening the payout detail screen. To initiate a repayment, simply click on Repay Payout.
A confirmation modal will appear asking you to confirm the desired repayment request. Clicking on Repay Payout triggers the repayment process.
A successful repayment will result in the original Payout being updated with a Repaid status. If your repayment fails, you will see a notification on the dashboard and the original payout will not change state.
Cancelling a Payout
Payout cancellation is similar to a repayment with the exception that it is generally a cancellation of a payout that has not been fully issued to an earner. Cancelling should also be used with caution because earners are notified of all payouts that are issued and may be confused when they find that a payout has been canceled.
In order to use this functionality your account must be configured for Repayments and only users with the Execute Repayments permission will be able to cancel a payout.
Cancellation Usage
Only payouts that are in a status of queued or pending can be canceled. Users who have been granted appropriate permissions will see a three-dot menu appear at the top right corner after opening the payout detail. To cancel the payout, simply select Cancel Payout.
